Folder structure we recommend

Use a single shared drive or physical binder with dated tabs:

  • Privacy & consent — current collection statement, sample signed forms
  • Incidents & complaints — register with closure notes, last 24 months
  • Emergency & infection control — posted procedures with review dates in the header
  • Staff credentials — sample check list, not full HR files
  • Billing samples — ten random encounters with notes matching item numbers

Monthly ten-minute habit

Assign one reception lead to verify review dates on the first Monday. If a document lacks a review date, add one six months forward and note the owner.
