Building a compliance folder reception can maintain
The compliance folder fails when it lives in the principal’s email archive. Reception cannot produce a privacy update or incident log if they do not know it exists.
Folder structure we recommend
Use a single shared drive or physical binder with dated tabs:
- Privacy & consent — current collection statement, sample signed forms
- Incidents & complaints — register with closure notes, last 24 months
- Emergency & infection control — posted procedures with review dates in the header
- Staff credentials — sample check list, not full HR files
- Billing samples — ten random encounters with notes matching item numbers
Monthly ten-minute habit
Assign one reception lead to verify review dates on the first Monday. If a document lacks a review date, add one six months forward and note the owner.
