On-site assessment of patient flow, reception, rosters, and compliance documentation for clinics with 4–20 rooms.
Who this is for
Owners and practice managers running physiotherapy, psychology, dental, GP, or multi-disciplinary rooms who feel daily operations slipping — long waits on certain days, reception bottlenecks, locum gaps, or compliance folders that only get attention before an audit.
What you receive
- Half-day on-site observation including a full patient journey from booking call to billing
- Structured staff interviews with reception, nurses, and clinicians (confidential notes, shared themes only)
- Document review of rosters, triage scripts, incident logs, and Medicare or insurer paperwork samples
- Written report with prioritised actions, indicative costs, and suggested owners for each task
- Follow-up call within ten business days to walk through findings with leadership
Scope boundaries
The review diagnoses operational friction and recommends changes your team can implement. It does not include legal advice, clinical governance sign-off, or hands-on implementation — those can be scoped separately if needed.
Process
- Enquiry & fit call (30 minutes, phone or video) — confirm specialty, room count, and primary concern
- Proposal & deposit — fixed fee confirmed in writing; 30% deposit secures the site visit date
- Site visit — typically a weekday morning to capture peak reception load
- Analysis & draft report — delivered within seven business days of the visit
- Findings session — 60-minute review with owner and practice manager
Preparation
Have recent rosters, a sample week of appointment data, and your current reception scripts available. Block 20 minutes with each team lead before the visit so they expect a brief conversation.
Pricing basis
Fixed fee from AUD 4,850 for single-site clinics up to ten rooms within 50 km of Perth CBD. Multi-site groups and regional travel are quoted after the fit call. See Rates for supporting consultation fees.
